Ecommerce ERP Integration: NetSuite, Acumatica, QuickBooks Patterns
The mid-market threshold where ERP integration moves from ‘nice to have’ to ‘required’ is around $2M GMV. Below that, QuickBooks Online + a Zapier connector handles the load. Above that, the manual data entry and reconciliation hours add up faster than the integration build costs. Here’s the architecture for NetSuite, Acumatica, and QuickBooks ERP connections in WooCommerce.
№ 01What the ERP actually owns
The ERP is the source of truth for: inventory counts (per warehouse), product master data (SKU, descriptions, costs, MSRP), customer master data (B2B accounts, terms, credit limits), order status (fulfilled, partially shipped, returned), financial records (AR, AP, GL).
WooCommerce’s job: display products, capture orders, take payments, hand off to ERP. WooCommerce should NOT be the system of record for any of the above — it’s a checkout layer on top of the ERP’s data. The integration architecture follows from that principle.
№ 02QuickBooks Online integration
For stores under $2M GMV with 100-500 SKUs and simple workflows, QuickBooks Online via the WooCommerce QuickBooks Sync plugin ($79/year) covers: customer creation in QB, sales receipt creation per order, inventory adjustment on order, basic tax mapping.
Limitations: no multi-warehouse, no B2B customer tier logic, no return automation (you handle credits manually in QB), sync delays of 5-15 minutes. Acceptable for the scale. Above $2M GMV or with multi-channel selling (Amazon + Shopify + WooCommerce all hitting QB), you need a middleware like Webgility or A2X.
№ 03NetSuite integration patterns
NetSuite is the dominant ERP in the $10M-$200M mid-market range. Three integration patterns for WooCommerce:
- Celigo integrator.io ($600-$1,200/mo): pre-built connector, configurable mappings, support team. Standard for most mid-market — we deploy this 80% of the time.
- FarApp / Boomi ($800-$2,500/mo): middleware-as-a-service, more customizable, costlier but better for multi-system integrations.
- Custom REST integration ($15K-$40K build): full control, no SaaS dependency, one-time cost. Justifies above 5,000 daily orders or for unique workflow requirements.
Build time: 6-12 weeks for Celigo, 12-20 weeks for custom. Test data sync extensively before go-live; ERP-side errors are the #1 cause of mid-market ecommerce launch delays.
№ 04Acumatica patterns
Acumatica is the mid-market ERP that NetSuite ignored for too long. The Acumatica-WooCommerce connection is cleaner than NetSuite’s for stores in the $5M-$50M range. Tools: Kensium A+ Commerce ($400-$900/mo), KNK’s WooCommerce connector ($500/mo), or custom via Acumatica’s native REST API.
What works well: Acumatica’s native multi-warehouse, multi-entity, and B2B pricing models map cleanly to WooCommerce roles and pricing rules. Custom-field sync is straightforward via Acumatica generic inquiries. Returns and credit memos flow back to WooCommerce as order status changes.
What requires care: tax calculation. Acumatica’s native tax doesn’t always match Avalara’s rates in the WooCommerce checkout. Source taxes from one system — usually Avalara via both — not from two independent calculations.
№ 05The integration decision tree
Walk through this before signing an integration vendor:
- GMV under $2M, fewer than 5 channels -> QuickBooks Online + Zapier or WooCommerce QuickBooks Sync
- GMV $2M-$10M, single-channel -> QuickBooks Online + Webgility, OR Acumatica + Kensium
- GMV $10M-$50M, multi-channel -> NetSuite + Celigo, OR Acumatica + Kensium
- GMV $50M+, complex multi-entity -> NetSuite + custom REST, or NetSuite + Boomi
The mistake we see most: $3M stores buying NetSuite because their accountant suggested it. NetSuite at that scale is $40K/year in licenses for an ERP whose features you won’t use until $15M. Acumatica or QBO with middleware is usually the right answer in the $2M-$10M range.
⚠What to avoid
- Treating WooCommerce as the inventory system of record while ‘syncing to ERP’. The 5-minute sync lag will cause oversells. ERP owns inventory truth; WooCommerce reflects it.
- Building a custom ERP integration without 3 months of QA. ERP-side data errors are the #1 cause of mid-market ecommerce launch delays we’ve observed.
- Buying NetSuite at $3M GMV because ‘we’ll grow into it’. Licensing cost compounds; you’ll regret it for 4 years before you actually need the features.
