Do You Integrate with QuickBooks?

The short answer

Yes. WooCommerce-QuickBooks Online integration via the WooCommerce QuickBooks Sync plugin ($79/year) or Webgility middleware ($30-$200/mo). Standard for stores under $5M GMV with simple workflows. NetSuite and Acumatica handled separately for larger scope.

№ 01The longer answer

QuickBooks Online is the right ERP/accounting stack for most stores under $2M-$5M GMV. The WooCommerce QuickBooks Sync plugin handles: customer creation in QB on first order, sales receipt per order, inventory adjustment, basic tax mapping. Setup: 4-6 hours including testing.

For multi-channel sellers (WooCommerce + Amazon + Shopify all feeding QB), we recommend Webgility middleware ($30-$200/month based on transaction count). Webgility deduplicates customers across channels, normalizes tax mapping, and handles refund/credit-memo flow. Worth the cost above $1M multi-channel GMV.

Limitations of QuickBooks Online: no real multi-warehouse, no B2B customer-tier logic, sync delays of 5-15 minutes. If your business needs serious B2B workflows or multi-entity accounting, you’ve outgrown QBO. Move to Acumatica ($200-$900/month) or NetSuite ($30K-$50K/year licensing).

We’ve set up QBO integration on ~30 Tampa Bay stores. The common gotcha: tax line mapping. If your WooCommerce tax rates and your QBO chart of accounts don’t map cleanly, your books drift. We dedicate 2-4 hours specifically to tax mapping setup and test reconciliation before launch.

№ 02What about QuickBooks Desktop?

Less integrated than QBO. Possible via Webgility but support is winding down. We strongly recommend migrating to QBO before launch.

№ 03Can you do real-time inventory sync?

With QBO native, no (5-15 minute delay). For real-time, you need Acumatica or NetSuite. Or accept the delay and configure WooCommerce as the inventory truth with QBO reflecting it.

№ 04Do you handle the QBO setup or just the integration?

Integration only. Chart of accounts setup, tax line configuration, and AR/AP workflow are your accountant’s job. We’ll coordinate but won’t replace your bookkeeper.
